CCTV Policy

Purpose of CCTV
Sutton & Epsom RFC uses CCTV in and around our clubhouse and grounds to:

  • Help ensure the safety and security of members, visitors, and staff
  • Protect club property and facilities
  • Assist in the prevention and detection of crime
  • Support investigations if an incident occurs

 

Legal Basis
The use of CCTV is based on the club’s legitimate interests in protecting people and property.

 

Areas Covered
Cameras are located in:

  • Clubhouse entrances and exits
  • The bar and communal areas
  • Car park and external grounds

CCTV is not used in private areas such as toilets or changing rooms.

 

CCTV and Safeguarding
Sutton & Epsom RFC uses CCTV in and around the clubhouse and grounds as part of our commitment to creating a safe environment for children, young people, and vulnerable adults.

  • Purpose: CCTV is used to deter and detect inappropriate behaviour, support safeguarding investigations, and protect members, visitors, and club property.
  • Privacy: CCTV is not installed in private areas such as toilets or changing rooms.
  • Access: Footage is only viewed by authorised committee members or the Club Safeguarding/Welfare Officer when necessary, for example to investigate a safeguarding concern.
  • Sharing: Footage may be shared with the RFU safeguarding team, police, or statutory agencies if relevant to a safeguarding case.
  • Retention: Footage is kept for [e.g. 30 days] unless it needs to be preserved as part of an investigation or legal requirement.

 

Retention of Footage
Recordings are kept securely for up to 30 days. Footage may be kept longer if it is needed for an ongoing investigation, disciplinary matter, insurance claim, or police request.

 

Access to Footage
Access to CCTV footage is restricted to authorised members of the Club Committee. Footage may be shared with:

  • Law enforcement agencies (e.g. the police)
  • Insurers or legal representatives if required
  • Other third parties where legally required

We do not share CCTV footage for marketing or entertainment purposes.

 

Your Rights
Under data protection law, individuals recorded on CCTV have the right to:

  • Request access to their personal data (a “subject access request”)
  • Request that inaccurate data is corrected
  • Request restriction or erasure of data in certain circumstances
